Goals and Objectives

  • Responsible for effective operation and maintenance of buildings and control OPEX
  • Increase operational efficiency and effectiveness of buildings and infrastructure
  • Illustrate the WeWork core values and strive to achieve our mission
  • Directly manage portfolio facilities vendor partner team
  • Coordinate with the Projects/RE team for new buildings HOTO
  • Stakeholder management for operational excellence


Roles and Responsibilities

  • Schedule facilities staff to achieve the most optimal labor time/cost ratio
  • Be the first point of escalation for large facility maintenance emergencies
  • Work with service contractors and Facilities team to schedule as needed
  • Prioritize daily facility issues and effectively delegate responsibilities
  • Daily oversight of facilities budgets and spending
  • Oversee maintenance-related procurement requests
  • Project-manage portfolio large-scale maintenance projects
  • Execute on strategy set by the Operations leadership
  • Ensuring Fire and Life Safety process is adhered to
  • Develop and oversee all Preventative Maintenance Programs
  • Act as the liaison between the Community Management team and the building’s Property Management team for any escalated issues
  • Review and approve R&M requests, monthly cost sheets
  • Solve escalated (level 2) maintenance requests submitted via ticketing system
  • Weekly review of the Salesforce data reports to:
  • Drive SLAs more than 90%
  • Manage assignees/staff performance
  • Planning resolutions for aging tickets
  • Identify and act on Facilities’ categories with recurring SLAs below 75%
  • Issue of PO via SAP
  • Ensure vendor partners meet KPI targets within the portfolio set by Operations leadership
  • Accountability in building opening Hand Over and Snag List completion


Experience and Qualifications

  • Bachelors/Masters degree in Operations or a related field
  • 4-6 years of experience managing multiple buildings with base building infrastructure
  • Knowledge of statutory compliance, building codes, statutory permissions, etc.
  • Experience in managing multiple buildings, business continuity, risk assessment, incident management
  • Experience in coordinating with Real Estate and Projects team for building handover
  • Experience in implementing Six Sigma, OHSAS or ISO standards will be an added advantage
  • Experience liaising with local authorities, vendor management and contract management
  • Experience in managing OPEX, CAPEX and cost control
  • Experience in managing building critical infrastructure
